ONLINE REPORTING INSTRUCTIONS

1. Make sure your browser is on the main Online Reporting Page, http://www.gahighwaysafety.org/onlinereporting.html

2. Click on http://www.gahighwaysafety.org/onlinereportingmonthly.html and choose the month or special mobilization week for which you want to enter.

PLEASE NOTE THAT FILLING OUT YOUR MONTHLY REPORTING SYSTEM PAGE DOES NOT MEAN THAT YOU DO NOT HAVE TO FILL OUT YOUR SPECIAL MOBILIZATION REPORTING NUMBERS WHEN APPLICABLE.

3. For Monthly Online Reporting: Find the month of reporting and click THthe link.

4. On the Login Page, type in your User Name and Password (If you have forgotten your login name/password, go back to the Main Page and either email or call Matt Montgomery at GOHS)

5. Once inside the system, you will notice from the top of the page the week of the reporting, the login name that you entered, a search format, and many different agencies starting with Abbeville Police Department. Double check to make sure that you have chosen the right month or special mobilization reporting week in which to enter the data.

6. To find your agency and to enter the new numbers, type in your agency name in the search field and hit the "Search" button. An example would be for "Atlanta", type in Atlanta in the Search field and hit "Search" and you will be presented with Atlanta P/D (Atlanta Police Department) and GSP Atlanta (Georgia State Patrol--Atlanta).

7. When you see your agency's name, you will see the terms "Edit" and "View" to the left of your agency's name. To get into the database and enter your new numbers, hit the "Edit" button. SPECIAL NOTE FOR MATEN II USERS: MATEN II HAS BEEN CHANGED TO MNTEN FOR SEARCH REASONS. PLEASE DO NOT CHANGE THIS DESIGNATION WHEN ENTERING YOUR DATA MONTHLY.

8. When you get into the Edit section, you will notice the logo "GOHS Traffic Enforcement Edit Page", Edit Record (Your Agency's Name) and a bunch of titles starting with ID and ending with TEN. You can now type into each field the information that you have recorded the past week. You can also change your generic login and password (using LG for login and LG2 for password) for this individual database (PLEASE NOTE: IF YOU DECIDE TO CHANGE YOUR LOGIN, YOU WILL NEED TO DO IT FOR ALL THE DIFFERENT MONTHS IN THE DATABASE. FOR SECURITY REASONS, CHANGING YOUR PASSWORD ONCE WILL NOT CHANGE IT FOR ALL DATABASES!!). Type in the data that you have received. If you have a record which there is no data, make sure that you at least type 0 so that you do not receive an error message when you save the data. When you have entered all the data, HIT THE SAVE BUTTON AT THE BOTTOM RIGHT OF THE PAGE BEFORE GOING BACK TO THE LIST. IF YOU DO NOT SAVE THE DATA, YOU WILL HAVE TO REENTER THE DATA. Once you have saved the data, you can click on the "Back to List" page at the top of the entry page.

9. When you hit the "Back to List" page, you should be sent back to the previous page with the name of your agency. The numbers should then be updated with what you have just put in. Verify that the numbers are correct and you are done for this period.

NEW FOR 2005!! 10. GOHS has added a grand total page for both the monthly and special recording totals. After you have entered the data for the monthly or special, you can go to the Grand Totals page, enter your login and password, and enter the data again. If you do this, you will have a running total for the entire year.

11. In the TYPEONE field, either type 1 after you enter the data.

USING THE SEARCH ENGINE AND EXPORT FUNCTIONS:

When you have completed adding your numbers for the period, you may be interested in seeing how other agencies are doing or export spreadsheets to your own computer, or in doing number specific searches. With the GOHS Online Reporting System, you can do whatever you need to be done.

TO SEARCH FOR ALL THE MEMBERS OF A PARTICULAR TRAFFIC ENFORCEMENT NETWORK: Use the Search Engine by using the drop down button to select TEN, leave CONTAINS as is, type in the name of the Traffic Enforcement Network (ex. MATEN) in capital letters and hit the "Show All" button. You will now get a list of the Traffic Enforcement Network that you sought. If you hit the TEN field, it will automatically alphabetize the agencies in the Network. If you hit one of the other list fields (ex. Seat Belts), it will order by the top number of records to lowest number (i.e. if Atlanta has 54 seat belt violations, Alpharetta 65, East Point 58, and Union City 78, the system would order the agencies Union City, Alpharetta, East Point, and Atlanta).

TO EXPORT DATA: If you want to export for your own records a particular search or the entire database, it is easy with the GOHS Online Reporting System. All you have to do is hit the "Export Results" page at the top of the page. This will open up a new window with the header "Traffic Enforcement Output files". Chose which format you want to save the data and hit export. You will be prompted either to open the file onto your computer or save it to disk. Choose the save or open format and hit enter, and the file will be created for your use automatically.

ADVANCED SEARCH: With Advanced Search you can tailor the information that you are looking for in the database. Say for instance you want to know all the agencies in thestate that have more than 50 seat belt violations during a week but less than 5 DUI's. You would go to the advanced search page, go to the Seat Belt line, use the pull down menu to say "more than" and then type in 50 in the blank space. You would then go to the DUI line, use the pull down menu to say "Less than" and then type in 5 in the blank space. You would then hit "Search" at the bottom of the page and the results would pop up in a new page.

PAGE TOTALS: At the bottom of each page, there is a total section in Gray for each menu item that can be calculated into a total. This is handy when you do a specific search and you want to know the Grand Total for the search for which you are looking. For other totals, you may want to use the Export function to Excel or Word to better manipulate the data.
